Exhibitors are advised to use sturdy, strong, reusable containers to protect against the rigor of international transport. Cardboard cartons are not recommended, especially if the goods are to be re-exported at the conclusion of the show.
MAKE SURE YOUR CASES ARE UNLOCKED it is imperative to allow Customs to inspect the contents. Cases need to be unlocked.
IMPORTANT NOTE: Temporary import items should be packed and invoiced separately from permanent import items. Please enclose a copy of the commercial invoice/packing list inside of each carton.
ALL CARGO IS SUBJECT TO INSPECTION AND MIGHT BE OPENED AND COMPARED TO THE DETAILS LISTED ON YOUR COMMERCIAL INVOICE(S). DISCREPANCIES WILL CAUSE DELAYS AND POSSIBLE ADDITIONAL COSTS AND FINES.
All materials used for packing your freight (pallets, crates, etc…) made of SOLID WOOD must be fumigated in the country of origin. The outside of your wood packing must be stamped with the following quality/treatment mark issued by accredited inspection agencies:
- IPPC (International Plant Protection Convention) Logo
- XX (ISO country code)
- 000 (Code assigned to the company carrying out the fumigation procedure by the National Plant Protection Organization)
- YY (Fumigation method-either HT (Heat Treatment) or MB (Methyl Bromide)
Getting your goods customs Cleared
Most exhibition materials can be cleared as temporary goods the world over. This means, what ever you are shipping to an event, will in fact leave the country in a timely manner once your event is over. Sho-Air’s agent base deals exclusively in events and exhibitions and hold import bonds specific to these types of temporary clearances. Typically, a Commercial Invoice is all that is needed for your international shipment to be cleared properly. Permanent clearances as well as ATA Carnet processes are available as well but vary from country to country. Sometime we will need to do a temporary and a permanent clearance for the same shipment.Temporary clearances are executed by one of our agents placing the goods under a government bond that they hold. This bond is usually in place anywhere from 3 to 12 months depending on location. Some exhibition venue are designated bond holding facilities as well. A detailed packing list can be used to construct a commercial invoice to execute this clearance. Permanent clearances are arranged for shipments that contain give away or marketing materials that will not leave the country at the end of the event, for display materials that will be stored in country for future use, or for goods sold at an event by an exhibitor. A commercial invoice is used for this type of clearance.
The ATA Carnet demystified
Simply put, the ATA Carnet is a passport for freight. Instead of a commercial invoice, a general list contains the contents of the shipment. Instead of an in country agent opening a temporary bond, the bond is put up by the organization raising the Carnet. A Carnet is good for one calendar year and be extended if the goods do not return to the home country in that one year period. Once the goods return to the origin country and the Carnet is closed, the bond fee is returned to the Carnet holder. What’s the catch you ask? All of the items on the General List must return to the country of origin for the Carnet to be closed properly. No give away or items being sold can be used on a Carnet without the holder surrendering the bond fee and spending a ton of money on customs fees to sort out the mess. Air Freight Instructions
General Air Freight Instructions
Basically there are two type of air cargo service, flight with passengers and flights that are cargo only. Cargo that is too big to fit on a passenger aircraft, contains hazardous materials, or may require special handing at the airport will require a cargo plane. Transit times are based on the airport of origin, flight schedules, and cargo requirements. Our goal is to achieve transit times from airport to airport (not delivery to end user) in 3-7 days, including International Date Line and Time Zone adjustments. Estimate door to door delivery times from 5-14 days to include customs formalities, your destination will dictate the clearance times and processes.
Ocean Freight Instructions
General Ocean Freight Instructions
Exhibit Transport provides ocean freight transportation the World over. Like airfreight, the closer the loading and unloading of the container is to a major port or hub impacts the transit times and availability of equipment.
A pick up say in Des Moines will require either the trucking or rail of that loaded container to a port for export. Whereas a shipment that originates in Houston or Los Angeles will have direct port access and shorter transit times.
Typically 40’ High Cube and 20’ containers are used for the transport of exhibition and trade fair equipment. Keep in mind that ocean containers vary in their external and international dimensions and are not standardized like North American based trucking trailers.
For Example: A 48’ or 53’ trailer has a width of 96”, so 2 48” pallets or crates can side by side. But a 40’ HC container has a 94” inch floor and standard American shipping sizes will not go side by side. Consult our diagram to insure all of your cargo will fit snuggly in an ocean container.
